  • Business information: clinic hours, services, staff details, website content
  • Financial data: when you connect QuickBooks Online, we access profit and loss data, revenue, expenses, and payroll figures solely to generate your financial reports
  • Call data: voice call transcripts, recordings, caller information, and call outcomes processed through our voice AI agents
  • Usage data: how you interact with the platform, login times, feature usage

 

3. How We Use Your Information

  • To provide and operate the PaulAI platform and its AI agents
  • To generate financial reports and business insights via our Finance Intelligence Agent
  • To process and analyse voice calls made through your dedicated phone number
  • To send platform notifications, support communications, and account alerts
  • To improve our services and develop new features

 

4. QuickBooks Data

When you connect your QuickBooks Online account, we access your financial data solely to generate reports within the PaulAI platform. We do not sell, share, or use your QuickBooks data for any purpose other than providing you with financial intelligence reports. You may disconnect your QuickBooks account at any time from your platform settings, which immediately revokes our access.

5. Data Storage and Security

  • All data is stored on secure AWS infrastructure in the United States
  • QuickBooks access tokens are encrypted using AES-256-GCM encryption
  • All data transmission uses HTTPS/TLS encryption
  • We perform daily encrypted backups
  • Access to your data is restricted to authorised PaulAI staff only

 

6. Data Sharing

We do not sell your personal or financial data. We share data only with:

  • ElevenLabs — to power voice AI agents (call transcripts and audio)
  • Twilio — to manage phone number routing
  • AWS — for infrastructure and storage
  • Intuit/QuickBooks — for OAuth authentication only
  • Legal authorities if required by law

 

7. Data Retention

We retain your data for as long as your account is active. Upon account termination, your data is deleted within 30 days upon written request.

8. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Disconnect third-party integrations (QuickBooks, etc.) at any time
  • Export your call data and transcripts
